Department accounts allow multiple employees to securely access the same account without compromising password integrity.

There are two types of shared email accounts.

  1. Department email accounts

    1. health.<department> for UNLV Health

    2. ksom.<department> for Kirk Kerkorian School of Medicine

  2. Operational email accounts

    1. These are used for a very specific purpose (club, specific group)

The owner of an operator account can create separate passwords for each staff member who has access to the account. This will allow access to encrypted emails via ProofPoint.

  • The purpose of the training is for the operator account owner and staff members.

The OB/GYN dept is planning to send patients their sugar and blood pressure logs via a general department email account (encrypted).

  • The recommendation is an operator account with multiple staff having access to the account.

  • The owner of the operator account can have separate passwords for each staff member.  This will allow access to encrypted emails (ProofPoint).

  • Operator account owners will need to know how to assign separate passwords to their staff.

  • The staff will need to know how to access the operator account and what activities they are allowed.

  • Account owner (gets password)

  • All email accounts go through Communications/marketing for branding purposes

Set up Okta as the account owner

As the owner of the account, log into ACE

Click the name in the top right > Settings

Choose Okta Verify > Set Up

Advance through until you see a QR code.

  2. Choose Add Account

  3. Choose Scan QR Code

  4. Scan the QR code with your device

  5. Follow the on-screen prompts to continue setup

To add another employee to the account’s Okta Verify, the employee and their personal device must be present. You can complete this together in person or via Google Meet/Zoom with screen sharing.

As the owner of the account, log into ACE

  1. Open Okta Verify on your phone

  2. Choose Add Account

  3. Choose Scan QR Code

  4. Scan the QR code with your device

For security purposes, you are encouraged to limit the number of employees who have delegated access to this account.
